EXECUTIVE ASSISTANT TO THE CEO We Do Bling – Job Description\ Position Overview The Executive Assistant to the CEO provides high-level administrative, operational, and strategic support to the CEO of We Do Bling. This role ensures smooth daily operations, manages communication and scheduling, assists with project execution, and acts as a central liaison between the CEO and all departments—including Production, Sales, Storefront, Designers, Contractors, and External Partners. The ideal candidate is highly organized, proactive, detail-driven, and able to thrive in a fast-paced, creative, and rapidly growing environment. PRIMARY RESPONSIBILITIESAdministrative \& Executive Support * Manage CEO’s daily calendar, scheduling, and prioritization of meetings. * Prepare agendas, meeting notes, and follow-up action lists for CEO-led meetings. * Draft, proofread, and send communication on behalf of the CEO (email, letters, customer responses, vendor inquiries, etc.). * Maintain confidentiality regarding business operations, customer details, staff matters, and financial information. * Organize digital files, business documents, SOPs, contracts, and records. * Assist with preparing presentations, reports, and business documentation. Operational Support * Assist the CEO with operational planning, including production scheduling, garment ordering cycles, store planning, and inventory needs. * Support workflow communication between the CEO, Production Manager, Store Manager, and Designers. * Help maintain and update SOPs, checklists, manuals, training documents, and internal forms. * Track ongoing projects (team stores, fundraisers, custom orders, bulk orders, events) and provide weekly status updates. * Support quality-control processes by ensuring communication between production, shipping, and customer service is aligned. Customer \& Vendor Communication * Draft and send polished customer-facing communication, including updates, policy explanations, quotes, and follow-ups. * Assist with resolving customer concerns by gathering information, reviewing order files, and preparing summaries for the CEO. * Maintain communication with vendors, garment suppliers, designers, and other partners. * Assist with scheduling vendor shipments, monitoring garment orders, and tracking deliveries when requested. Sales, Marketing \& Digital Support * Assist with organizing team store launches, fundraiser stores, custom portals, and social-media-related tasks. * Gather information needed for new stores, design requests, and quote forms. * Support the CEO in preparing marketing materials, sale flyers, and event collateral. * Maintain organized folders of product mockups, templates, high-resolution images, and brand assets. * Track deadlines for stores, launches, design approvals, and customer follow-ups. Event, Storefront \& Production Coordination * Help coordinate special events, sales, promotions, and community outreach. * Assist CEO with store layout changes, seasonal transitions, and merchandising plans. * Communicate project priorities between departments when the CEO is unavailable. * Assist with production prep—pulling orders, organizing design files, updating task lists—when needed during peak times. * Maintain discretion and clarity when relaying CEO instructions to staff. Project Management \& Special Assignments * Organize multi-step projects such as: * Fundraiser setup and launch * New product line rollouts * Bulk order planning and quoting * Seasonal store resets * Designer coordination * Internal training systems * Track progress and follow up with relevant team members to ensure deadlines are met. * Prepare summaries and weekly reporting for the CEO. QUALIFICATIONSRequired Skills \& Experience * Strong organizational skills with extreme attention to detail. * Excellent written and verbal communication skills. * Ability to draft polished emails and documents that reflect We Do Bling’s brand voice. * Ability to maintain confidentiality and handle sensitive information. * Experience managing multiple priorities with short deadlines. * Strong competency with: * Google Drive \& Workspace * Excel/Sheets * Canva * DecoNetwork (or ability to learn quickly) * Basic understanding of the apparel customization process * Ability to work with designers, production staff, and store staff professionally. * Ability to problem-solve and make decisions based on policies and CEO expectations. * Ability to learn new systems, workflows, and business processes quickly. Preferred Qualifications * Previous experience in a small business or creative production environment. * Experience in retail operations, e-commerce, or apparel customization. * Understanding of production scheduling, order workflows, and quality control. * Experience creating SOPs, managing forms, and building administrative systems. * Familiarity with social media posting, content organization, or digital marketing tools.
