Stock, Sage and Purchase Order Administration * Support stock control processes through Sage. * Raise, review and monitor supplier purchase orders. * Ensure stock records are accurate and up to date. * Monitor stock availability and flag stock risks. * Manage back-order reporting and ensure out-of-stock information is communicated business-wide. * Help review Sage reorder levels and support purchasing decisions. * Liaise with Engineering, Sales and Finance to support stock planning and product demand. Website Orders and Sage/WooCommerce Connector * Monitor website orders to ensure they flow correctly into Sage. * Check that the Sage to WooCommerce connector is functioning correctly. * Identify and help resolve website order import issues. * Work with the website and marketing team to reduce operational friction caused by website processes. * Ensure order data, customer details and stock information are processed accurately. Warehouse and 3PL Follow-Up * Liaise with third-party logistics warehouse partners. * Help ensure all 3PL warehouses are performing correctly. * Follow up warehouse issues relating to turnaround times, stock accuracy, communication, returns and order processing. * Ensure inbound stock is properly planned, documented and received. * Help coordinate stock movements to the correct warehouse. * Support warehouse reporting and KPI tracking. Supplier, Factory and Inbound Shipment Coordination * Liaise with various factories and suppliers. * Track and communicate inbound supplier and factory orders. * Ensure ASNs are completed for inbound warehouse shipments. * Ensure TSS requirements are completed for inbound goods into Northern Ireland. * Monitor supplier lead times and production visibility. * Share forecasts with suppliers where required. * Work with Engineering, factories and suppliers to support product demand planning and stock availability. Accounts and Payment Coordination * Work with the accounts team to ensure proformas are chased. * Ensure payments are allocated to proformas so goods can be dispatched. * Help ensure outstanding payments are followed up. * Check that payments are allocated correctly on Sage. * Help ensure customer statements are kept up to date. * Support communication between Accounts, Customer Service and Operations. Reporting, Forecasting Support and Stock Planning * Support stock forecasting and planning processes. * Review sales history, supplier lead times and seasonal demand where required. * Help identify high-moving and “never out of stock” products. * Support reporting on back orders, out-of-stock items, warehouse issues, cancellations and operational risks. * Ensure key operational information is communicated clearly across the business.
