Position Overview We are seeking an exceptional **A\-player Medical Office Manager** to lead the non\-clinical operations (clinical experience is a plus) of our thriving medical practice. This is a hands\-on leadership and\_ **working management role**\_ for a strategic, results\-driven professional who combines strong business acumen with deep healthcare knowledge to optimize efficiency, profitability, compliance, and patient satisfaction. The ideal candidate is a proactive leader who anticipates challenges, inspires teams, and consistently elevates practice performance to top\-tier levels. This candidate is also well versed with all positions and can manage or fill in when necessary. Key Responsibilities * Oversee **day\-to\-day administrative and operational functions** of the medical office, ensuring seamless workflow so providers can focus on patient care. * Provide **strategic leadership** and direction: develop and implement policies, procedures, and process improvements to drive efficiency, reduce costs, and enhance patient experience. * Manage **staffing and human resources**: recruit, hire, onboard, train, supervise, evaluate, motivate, and develop administrative and support team members (receptionists, medical assistants, etc.); handle scheduling, performance reviews, conflict resolution, and disciplinary actions. * Lead **financial operations**: oversee revenue cycle management (billing, coding, collections, insurance verification/claims), budgeting, payroll, accounts payable/receivable, financial reporting, work and run aging reports, and cost control to maximize profitability and cash flow. * Ensure full **regulatory compliance and risk management**: maintain up\-to\-date knowledge of HIPAA, OSHA, Meaningful Use, MIPS, state/federal healthcare regulations; conduct audits, implement controls, and mitigate risks to protect the practice and patients. * Optimize **patient experience and front\-office operations**: supervise appointment scheduling, patient registration, check\-in/check\-out, phone triage, and customer service; monitor satisfaction metrics and implement improvements. * Manage **practice growth initiatives**: analyze performance data, identify opportunities for expansion, negotiate vendor contracts, oversee facility maintenance, and align operations with the practice's strategic vision. * Collaborate closely with physicians/providers on operational decisions, practice goals, and problem\-solving while respecting clinical boundaries. * Prepare and present regular reports on key metrics (financials, productivity, patient volume, staff performance, compliance status) to ownership on a daily / weekly basis. Qualifications \& Experience * **5\+ years of progressive experience** in medical office or practice management (preferably in a multi\-provider or specialty setting); proven track record as a high\-performing leader. * **Bachelor's degree** in healthcare administration, business, or related field (Master's or CMPE/FAAMA certification a strong plus). * Deep knowledge of healthcare operations, **revenue cycle**, medical billing/coding (CPT, ICD\-10\), EHR/PM systems ***(eClinicalWorks)***, and compliance frameworks. * Demonstrated success improving financial performance, staff retention, patient satisfaction scores, and operational efficiency.
