As our practice grows, we look forward to welcoming our new Medical Front Desk Associate to the family. The Medical Front Desk Associate is a front-office focused role and serves as the first point of contact for patients. This position is centered on patient experience, scheduling, communication, and financial collection, with some clinical involvement. Any clinical-adjacent tasks (such as acting as a chaperone or assisting with basic procedures) are occasional and secondary to core front desk responsibilities. Responsibilities: Greet patients professionally and warmly, both in person and by phone Manage patient check-in and check-out workflows efficiently Collect payments, co-pays, membership fees, and balances at time of service Ensure patients complete required forms, consents, and questionnaires prior to visits Schedule new and existing patients accurately across multiple service lines Confirm appointments and proactively reduce no-shows through reminders and follow-up Enforce practice policies regarding cancellations, no-shows, and deposits Coordinate provider schedules and optimize appointment flow Administrative \& Documentation Duties Accurately enter and update patient demographics and insurance information (when applicable) Scan, upload, and organize documents into the electronic medical record (EMR) Maintain HIPAA compliance and strict confidentiality at all times Assist with outbound patient communication for labs, imaging, and follow-up coordination Understand and clearly communicate pricing, memberships, and service packages Marketing \& Growth Support (Preferred) Assist with intake for patients generated from advertisements or campaigns Track referral sources and marketing attribution when required Support promotional initiatives, events, or patient outreach campaigns Required : Bilingual ( English and Spanish ) Preferred Qualifications Prior experience in a medical or concierge healthcare front desk role Experience working with electronic medical records (EMR) systems Familiarity with basic medical terminology Prior experience acting as a medical procedure chaperone Basic phlebotomy experience or willingness to be trained Sales, hospitality, or customer service background Experience managing appointment deposits or prepayment workflows Marketing, intake coordination, or lead management experience Pay: From $17.00 per hour Expected hours: 30.0 – 40.0 per week Benefits: 401(k) 401(k) matching Employee discount Free health screenings Opportunities for advancement Paid orientation Paid time off * Referral program Work Location: In person
