Overview Rituel de Fille is an independent cosmetics company that manufactures most of its products in-house in small batches. We currently offer our products through ecommerce and wholesale distribution, and manage fulfillment from our own facility. We are looking for a full-time Operations Manager to oversee our manufacturing, sourcing, warehousing, shipping, and customer service, while ensuring our facilities are running smoothly. This is a hands-on leadership role. You’ll own the systems and processes that keep us accurate, efficient, and on time; mentor small teams; protect our margins; and help us build toward a more scalable, more effective future. The right candidate for this position will be extremely organized, a great communicator, a fast learner, and a self-driven problem solver. You will be skilled at managing and motivating people while effectively communicating up to keep management informed. You will skillfully maintain great working relationships while ensuring that firm deadlines are met and shifting priorities are accounted for. Though the structure may change over time, initially the Operations Manager will have three direct reports: * Manufacturing Manager (manages 2-4 reports) * Customer Service/Purchasing Manager (works with an array of contractors) * Warehouse Specialist (occasionally 1-3 temp/seasonal reports) The Operations Manager will oversee facility, manufacturing, warehousing, customer service and shipping operations to ensure all teams are aligned and working harmoniously to achieve broader company goals. Responsibilities: * Overseeing our sourcing, manufacturing, warehousing, shipping and customer service processes. Managing the stakeholders in each department, monitoring and maintaining the flow from raw materials > inventory > purchase/inventory order > shipment > delivery, coordinating AP and overseeing AR, and addressing any interruptions in that process. * Owning our MRP system processes and implementation; maintaining data integrity; creating work orders; ensuring data accuracy and consistency across software platforms; forecasting based on priorities and depletion. * Ensuring careful, precise tracking of inventory of raw materials, including packaging, finished goods, retail displays, marketing collateral and shipping supplies; overseeing output and depletion; developing and improving processes; projections; maintaining stock levels and ensuring POs are placed accurately and on time; evaluating new vendors; accurate inventory reporting for accounting. * Working with direct reports and teams to oversee, develop, document, refine and enforce internal processes; proactively working to create and improve SOPs to increase efficiency and efficacy. Working with managers and stakeholders to ensure that issues are found and fixed. * Carefully tracking deadlines and launches, with ongoing attention to changes. Overseeing manufacturing and shipping teams to ensure needs are properly prioritized and deadlines are appropriately scoped and met. * Ensuring staff, contractors and temp/seasonal workers are allocated appropriately depending on current priorities. Delegating tasks and responsibilities, and facilitating training where needed. Managing digital time card software, payroll validation. * Overseeing and contributing to the meticulous maintenance of both digital and physical documentation, including: raw material and batch records, retains, compliance information, vendor setup, and product data. Managing data and information requests as needed. * Coordinating import/export and domestic shipping; small parcel and freight; sourcing and managing service providers; ensuring deadlines are met; sourcing and evaluating providers; managing carrier contracts; managing logistics, customs/duties, bonds.such as shipping/export paperwork * Human resources compliance and oversight. Facilitating a supportive, respectful work environment; local, state and federal compliance requirements; guidance, mentorship, documentation, incident reporting, and corrective action where needed; reporting any issues to management if necessary; hiring for relevant staff. * Facility management for a small industrial space. GMP best practices; safety supplies and maintenance; source and communicate with contractors and service providers; space efficiency optimization; waste management and specialty disposal; facility and equipment troubleshooting and problem solving. * Working with relevant team members on various special projects, such as onboarding for new software to improve operations. * Ensuring information is shared with relevant stakeholders, including our Ecommerce Manager (eg. product inventory), Social Media Manager (eg. inquiries), and Financial Controller (eg. AR, AP, inventory reporting). Some of the tools you will work with: * Commerce and Sales Channels: Shopify Plus, Amazon FBA, Shop App, TikTok Shop, Instagram/Facebook Shop * Manufacturing and Inventory: Katana (MRP), The Good Face Project (formula records, compliance) * Shipping and EDI: ShipStation, Lingo/EZcom (EDI) * Finance: QuickBooks Online, Bill.com, Numeral (sales tax/VAT) * Customer Service: Gorgias, Okendo * HR and Workplace: Rippling, Google Workspace Experience Needed: * Cosmetics manufacturing; experience with color cosmetics is a huge plus. * Warehousing, fulfillment and export of consumer packaged goods; cosmetics, personal care, supplements and/or food strongly preferred. Ecommerce-related experience is a huge plus. * Purchasing, logistics and importing of materials and/or finished goods; understanding of processes and requirements. Skills Required: * Developing and refining effective processes, creating SOPs, and ensuring consistent adoption * Extreme organization, with exceptional attention to detail * Making judgment calls, keeping an eye to fine details while maintaining focus on bigger-picture priorities * Extraordinary communication and management skills; highly skilled at giving direction and closely following procedures * Must be able to work independently and proactively find solutions while keeping owners clearly informed * Great at scoping and coordinating projects, and motivating team members * Able to work at a fast pace, and ensure the productivity of others * Ability to communicate realistic and achievable timelines, goals, targets * Relentless problem-solving. Mechanical inclination with the ability to fix things confidently is essential * Interest in learning and retaining relevant product knowledge. This role supports the clinical audiences of our external partner practices as well as Aledade’s clinical and non-clinical staff internally. Key responsibilities include performing retrospective medical chart reviews to pinpoint areas for improvement, interpreting performance data to uncover learning opportunities, and leading diagnosis documentation education for clinical audiences. The Clinical Risk Educator collaborates with colleagues and leadership to design and implement educational materials that align with regulatory compliance and value-based care principles. This position requires a deep understanding of clinical documentation concepts, clinical practice, and general outpatient practice workflows. It also demands a commitment to fostering education that promotes high-quality, compliant documentation practices within a value-based care framework. Candidates should be comfortable working remotely/work from home anywhere within the US. ### Primary Duties: The Clinical Risk Educator performs qualitative retrospective chart reviews for prioritized practices to ensure complete and accurate clinical documentation, utilizing quantitative measures to track the frequency and types of documentation errors and gaps. By analyzing review outcomes, they pinpoint specific areas for improvement in coding and clinical documentation while identifying trends and patterns that may indicate systemic issues or training needs. This role involves synthesizing concise, high-level summaries to illustrate findings, highlighting critical areas of concern, and prioritizing recommendations for improvement. Additionally, the Educator conducts educational sessions for Aledade ACO member practices and their key staff—delivered either in person or virtually—covering review findings, clinical documentation, and risk adjustment concepts. Serve as an individual contributor on the Risk Education team, collaborating with team members to develop and update educational materials related to clinical documentation for both internal and external audiences, inclusive of reference guides, slide decks, and toolkits. Conduct ongoing annual reviews of repository content to ensure alignment with CMS regulatory updates. Research, investigate and remain up to date on both clinical and coding guidelines as they relate to clinician documentation improvement. Serve as a resource for appropriate clinical documentation and coding practices for assigned region. ### Minimum Qualifications: Bachelor’s degree in a healthcare related field or equivalent work experience required 5+ years of clinical experience Current medical coding certification such as Certified Professional Coder (CPC), Certified Coding Specialist - Physician-based (CCS-P), Certified Risk Adjustment Coder (CRC), Certified Clinical Documentation Specialist (CCDS), Certified Documentation Expert Outpatient (CDEO), Certified Clinical Documentation Specialist-Outpatient (CCDS-O), etc. through AAPC, ACDIS, or AHIMA 2+ years of clinical documentation improvement experience Extensive knowledge of ICD-10-CM, HCPCS and CPT coding, medical terminology, human anatomy and physiology, clinical indicators associated with disease processes and pharmacology is required Subject matter expertise on the CMS HCC Risk Adjustment program, methodology, and impact to value-based contracts Comfortable presenting to large and small groups in person and in virtual format (Google Meet, Zoom, etc.) Ability to work both independently and collaboratively Flexible and able to multi-task and prioritize work load on a daily basis Availability for market-specific events, including the execution of 1-2 Saturday events per year in select markets Flexibility to work occasional evening hours, with the potential for 1-2 evenings per month on a national scale ### Preferred KSA's: Active nursing credential as Registered Nurse (RN), Licensed Practical Nurse (LPN), or international medical graduate (IMG) Background in working directly with providers in an outpatient setting Experience developing and delivering clinical education and training via Google Slides or Powerpoint presentations Ability to use insights from clinical and quality data to address opportunities for improvement Advanced knowledge of Medicare billing and coding regulations, along with a deep understanding of CMS compliance standards and guidelines General understanding of the billing requirements and reimbursement structures for FQHCs/RHCs Willingness to travel as needed to Aledade’s headquarters or markets ### Physical Requirements: Sitting for prolonged periods of time.
