Job Overview We are a very successful, long standing OB/GYN practice and are seeking a dynamic and highly organized Medical Practice Administrator to lead the efficient operation of our healthcare facilities. In this vital role, you will oversee daily administrative functions, manage financial and human resources, ensure compliance with healthcare regulations, and support clinical staff to deliver exceptional patient care. Your leadership will help foster a smooth-running practice that prioritizes quality, compliance, and patient satisfaction. Duties * Coordinate all aspects of practice operations, including scheduling, patient flow, and clinical support to optimize efficiency and patient experience * Work closely with the managing partner to oversee fiscal management activities such as budgeting, billing, coding, and financial reporting to ensure profitability and fiscal health * Supervise staff including medical administrative support personnel, nurses, and other clinical or administrative team members * Maintain compliance with healthcare regulations such as HIPAA, JCAHO standards, and OSHA requirements while managing medical records and ensuring data security using EMR/EHR systems like Epic, eClinicalWorks, or Dentrix * Manage human resources functions including hiring, training, performance evaluations, and staff development initiatives * Oversee medical office systems and other practice management software to streamline operations * Ensure proper handling of medical terminology documentation, utilization management processes, and managed care protocols for optimal patient outcomes * Monitor clinic performance metrics and implement process improvements to enhance service quality and operational efficiency Requirements * Proven experience in medical office management or healthcare administration with a strong understanding of clinic operations and medical administrative support functions * Demonstrated supervisory experience leading multidisciplinary teams in a healthcare setting * Proficiency with EMR/EHR systems is highly desirable but not required. * Strong knowledge of fiscal management principles including budgeting, financial management, billing practices, and revenue cycle management * Excellent understanding of healthcare regulations including HIPAA compliance, and utilization management protocols * Exceptional organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment * Effective communication skills for collaborating with clinical staff, vendors, patients, and regulatory agencies Your expertise will ensure our practice operates smoothly while providing outstanding care. Amazing Meds is a growing telehealth practice specializing in hormone therapy, medical weight loss, and peptides. We have a solid foundation: a busy practice, dedicated clinical team, and established credentialing with major insurance payers. Now, we need an operational leader. We are looking for an experienced Practice Administrator to take ownership of our daily operations, optimize our revenue cycle, and help us build out new service lines. If you are someone who likes to partner with department heads to solve complex escalations one minute and strategize on practice expansion the next, this role is for you. The Role: What You'll Do * Command Daily Operations: Oversee the pulse of the practice. You will manage patient flow, provider scheduling, and team coordination to ensure providers and support staff have what they need to deliver excellent care. * Lead \& Optimize the Revenue Cycle: You will work hand-in-hand with our dedicated Billing Manager and billing department. While you won't be processing every claim yourself, you need to know the revenue cycle inside and out to provide strategic oversight on prior authorizations, denials management, collections, and overall financial health. * Oversee Payer Relationships: In partnership with the billing team, you will ensure our active credentialing with major payers is maintained. You will provide high-level support on re-credentialing efforts and take the lead on negotiating reimbursement rates to ensure the practice is compensated fairly. * Drive Growth \& Expansion: We are actively expanding into new medical specialties. You will be the operational force behind this, taking new service lines from initial payer enrollment all the way through to launch. * Ensure Compliance: Keep our practice bulletproof by staying on top of HIPAA, multi-state telehealth regulations, and clinical documentation standards. The Profile: Who You Are * Experienced: You have 7+ years of experience actively running or administering a medical practice. * A Billing Expert: You have deep, hands-on experience with medical billing. Because you have personally worked claims, fought denials, and navigated prior authorizations in your career, you know exactly how to guide and support our billing department to success. * A Builder: You haven't just maintained existing clinics; you have a track record of helping stand up new service lines or specialties. * Autonomous \& Decisive: You don't need to be micro-managed.
