This role provides coordination of the front desk functions of the Center for Specialty Care to include management of provider schedules, communication board, daily huddles, co-payment reconciliation, referrals, authorizations, and reconciliation of missing documentation reports. The Practice Supervisor collaborates with affiliate off-site locations to ensure that processes are streamlined and consistent. In conjunction with the Practice Operations Manager, this role serves as a primary point of contact for patients and visitors in an outpatient center and provides excellent customer service through clear communication. Responsibilities include patient scheduling, registration and ancillary/support service scheduling of patients in the Center for Specialty Care. Duties and Responsibilities: Perform scheduling of patients, check-in, registration, and verification of demographic and fiscal information utilizing dual computer systems. Takes complete and accurate information from patients/callers, prioritizing and facilitating communication of information to providers. Preparation of schedules and other documents as needed in accordance with quality standards. Onboarding and training of new hires. Conducts 1:1 meetings with staff at the under the direction of Director Monitors and coordinates distribution and communication of all provider call schedules within the Center. Ensures that administrative team adds to each provider’s schedule template. Maintains all supply lists within the Center and orders office and medical supply when needed. Additionally, will maintain provider cart inventory and update inventory system when needed. Accurately inputs patient insurance and managed care plans, including prior authorizations, referrals, and precertification. Collect copayments following standards for managing copayment processing, reconciliation and deposit functions. Performs daily charge reconciliation and tracks missing documentation on a daily basis. Collect patient record upon completion of visit. Schedules follow up appointments, including related diagnostic and/or lab tests, making every reasonable effort to accommodate patient and provider needs. Attends periodic training and in-services to remain current in all processes with multiple computer systems and programs. Role serves as super user for computer systems. Monitor messages from answering service. Reschedule appointments when requested by patients and conducts reminder calls if system is not available. Facilitates timely clinic flow and updates the team communication board, referring issues to the Practice Operations Manager. Communicates with and assists patients, other employees and the general public in a courteous, helpful manner by phone and in person in compliance with the hospital's behavioral and service excellence standards (RESPECT/GREAT) Answers phone using the Beth Israel Deaconess Hospital- Milton telephone etiquette process. Maintains clean, neat and well-stocked exam rooms. Must have knowledge of medical front and back office procedures. Provides quality phone service by scheduling patients or referring caller to appropriate party. Answers phone messages from patients promptly. Maintains patient information that is accurate and charts/paperwork are filed correctly. Maintains medical records. Under the direction of a Provider, the Medical Assistant performs a variety of duties in connection with the examination and treatment of patients. May be assigned to a specialist. The MA takes a pro-active approach utilizing available resources to best serve the patient population. Performs a variety of clerical support duties including receptionist, telephone, scheduling, message management and data input. Utilizes knowledge and skill to provide appropriate care in accordance with the organization's policies, procedures and protocols and Arizona validated competencies. The MA works in a team model to improve the patient's experience, create better communication and access to care, and support processes that will improve patient satisfaction. Essential Functions Prepares treatment rooms for examination of patients. Escorts the patient to the examining room, obtains a brief history, documents chief complaint takes vital signs to include weight and temperature. Preps the patient for exam, assists the physician/clinician on exams and any special procedures. May travel to off site locations to perform diagnostic testing and assist in physical exam components, TB testing, Injections, phlebotomy and others. May administer and record injections and TB testing under the supervision and order of the physician. Performs venipuncture and obtains specimens, performs CLIA waived lab tests. Performs office procedures including, but not limited to, PFT, UDS, EBT, EKG, fit testing, within the scope of practice as directed by provider. Receives telephone calls from patients, pharmacy and others; documents and relays information to provider for action. Phones pharmacy with approved medication orders/refills. Performs a variety of front office duties as needed, including, but not limited to, reception, telephone, chart maintenance, insurance forms and scheduling. Organize and communicate with insurance companies for authorizations for therapies, testing and specialist referrals. Provides appropriate referrals to case management for employees. What you need: * Bachelor’s or Master’s degree in Computer Science, Engineering, or a related technical field (required). * 8+ years of progressive engineering leadership experience, preferably in fintech, financial services, or SaaS environments. * Proven experience managing distributed teams, including offshore and on-site staff, with a focus on accountability and performance. * Strong analytical and problem-solving skills with a data-driven approach to decision-making. * Hands-on technical expertise in software architecture, cloud infrastructure, and modern development practices. * Experience managing large-scale production environments and leading teams to quickly resolve issues and implement permanent fixes. * Deep understanding of system security, data privacy, compliance, and reliability best practices within financial technology environments. * Demonstrated success delivering complex, scalable, and user-centric technology solutions on time and within scope. * Exceptional communication, collaboration, and leadership skills with the ability to inspire and motivate engineering teams. * Ability to establish KPIs and leverage metrics to measure productivity, system health, and user satisfaction.
