The Warehouse Manager is responsible for the secure, accurate and efficient control of all stock held in the company's store room Although the store room is compact (approximately 250 m²), the stock it holds is of high value. The role therefore demands a high standard of accuracy, security, record-keeping and discipline. The Warehouse Manager also manages the movement of goods in and out of the business, including imports, exports and the transport and rigging arrangements for machinery and heavy equipment. Key Responsibilities Stock Management Receive, inspect, book in and correctly locate all incoming stock, checking against purchase orders, delivery notes and supplier invoices. Record and report any shortages, damages or discrepancies on receipt and follow up with suppliers or transporters. Maintain a clear, logical and labelled storage layout so that every item has a defined location. Safeguard high-value items through controlled access, secure storage and strict issue procedures. Monitor stock levels against minimum and reorder levels, and alert the COO and relevant staff in good time to avoid stock-outs or over-stocking. Identify slow-moving, obsolete or damaged stock and report it for decision. Keep the store room clean, orderly and compliant with health and safety requirements. Cycle Counting and Stock Control Plan and perform a regular cycle counting programme (for example daily, weekly and monthly counts based on item value and movement). Perform full stock takes when required (for example at year-end) and support external audits. Investigate variances, identify root causes and correct records promptly. Report stock accuracy and variance results to management on a regular basis. Recommend and implement controls that reduce loss, error and shrinkage. Database and Records Management Maintain accurate, up-to-date stock records in the company's inventory and ERP system (for example Odoo) and any supporting spreadsheets. Ensure all stock movements (receipts, issues, transfers, returns, write-offs) are captured on the day they happen. Maintain the item master data: part numbers, descriptions, units of measure, locations, supplier details and costing information. Keep organised records of delivery notes, goods received notes, issue slips, import/export documents and transport records. Produce stock reports, stock valuation reports and variance reports as required by management and Finance. Distribution of Stock Pick, pack and issue stock accurately against sales orders, job cards, service requests and internal requisitions. Prepare goods for dispatch, courier collection or customer collection, with correct documentation. Ensure that stock leaving the store room is authorised, documented and signed for. Coordinate with Sales, Service and Technical teams to ensure parts and consumables are available when needed. Manage returns, warranty items and repairs, including supplier returns. Imports and Exports Coordinate inbound shipments from international suppliers with freight forwarders, clearing agents and suppliers. Track shipments from dispatch to delivery and keep the COO and relevant staff updated on expected arrival dates. Ensure that all import and export documentation is complete and accurate, including commercial invoices, packing lists, bills of lading or airway bills, customs declarations and permits. Liaise with clearing agents on tariff classification, duties and VAT, and resolve customs queries. Manage export shipments, including documentation and proof of export, in line with customs and tax requirements. Verify that goods received match the shipping documents and report discrepancies or damage immediately for insurance and supplier claims. Transport and Rigging Arrangements Arrange and manage local and long-distance transport for stock, parts and machinery, obtaining quotations from approved transporters and recommending the best option. Plan and coordinate rigging, crane and heavy-lift services for the loading, off-loading and installation of machinery, ensuring that qualified and insured service providers are used. Schedule deliveries and collections to meet customer and installation deadlines. Confirm that transport and rigging providers hold valid insurance, and that goods in transit are covered. Ensure that safe working practices are followed during loading, off-loading and lifting activities, including risk assessments, site access and lifting equipment checks.
