Home Health Scheduling/Staffing Coordinator

The Scheduling/Staffing Coordinator is responsible for maintaining the client and caregiver relationships and ultimately helps provide a “best in homecare” experience for clients and caregivers. Plays the integral role in interfacing with caregiver staff in ensuring the proper caregiver and client match. Performs various supervisory activities related to scheduling both caregivers to clients, timecard processing, and other responsibilities as needed. Maintains a positive demeanor at all times and is able to effectively multitask in a high functioning office environment. ESSENTIAL FUNCTIONS * Schedules the daily activities of caregivers and patients * Answers telephone and takes inquiries/messages in an upbeat, professional manner. * Handles client and caregiver issues * Communicates continually with associates and clients to evaluate service. * Serves as a team player within an office environment. * Maintains documentation of associate work record in Wellsky/ClearCare. * Responds promptly and courteously to all clients’ calls. * Serves as liaison between associates and Operations Manager. * Maintains integrity in every interaction with caregivers and clients * Maintains professionalism in all interactions * Ability to multitask in a high functioning office environment * Ability to problem solve and make decisions in a fast-paced environment * Ability to relate to clients and care staff in a way that is sensitive to the unique needs of the individual. NON-ESSENTIAL FUNCTIONS * Other general office and clerical functions. * Other duties assigned by Operations Manager EDUCATION / SKILLS / ABILITIES / AVAILABILITY * High School graduate or equivalent. * Basic office, computer skills, and organizational abilities. Excellent interpersonal relations abilities. Excellent telephone skills. * Knowledge of common medical terminology. * Able to work independently, demonstrating sound judgment. * Read, write, speak, and understand English as needed for the job. Job description ------------------- Location: Southeast San Antonio (Southcross Blvd) Schedule: Mon–Fri 8 AM–5 PM + on-call rotation for some weekends About the Role Right at Home Southeast San Antonio is seeking a proactive, highly organized HR Scheduler \& Staffing Coordinator to lead our caregiver scheduling operations and support hiring efforts. This is a critical front-office role for someone who thrives in a dynamic, small-team environment and is willing to roll up their sleeves when needed. While this is not a caregiver position, you should be willing to step in and cover a client shift only as a last resort to maintain quality care. Key Responsibilities Scheduling \& Backup Management Create and maintain caregiver schedules using WellSky Anticipate needs and develop backup plans by ZIP code to avoid last-minute scrambles Rapidly fill open shifts and respond to call-outs or cancellations Match caregivers with clients based on skill, availability, and location HR \& Recruitment Post jobs, screen applicants, schedule interviews Run background checks, verify CNA licenses and references Help lead orientation and onboarding of new caregivers Keep digital and physical employee records organized and compliant Communication \& Support Serve as the main point of contact for caregivers regarding shift changes, policies, and urgent updates Ensure all messages are clearly communicated using text, phone, and our WellSky platform Monitor compliance On-Call \& Contingency Support Participate in rotating on-call schedule for evenings/weekends Be willing and able to step in as a caregiver only if no other solution is available Help protect the client experience by ensuring no shift is missed due to scheduling issues Office Operations Support day-to-day office tasks as needed — supplies, reports, client folders, etc. Work closely with the owner and office staff to solve problems and keep the business moving What We’re Looking For HR or Scheduling experience required (home care or healthcare setting preferred) CNA certification is a big plus, but not required Excellent multitasker, organizer, and communicator Tech-savvy: Proficient with scheduling tools like WellSky, Microsoft Office, and job platforms Solution-oriented mindset — calm under pressure and resourceful Someone who understands small team life — flexible, humble, and ready to hustle when needed Must have a valid driver’s license and reliable transportation Why Join Right at Home San Antonio?
