This role requires exceptional judgement, discretion, organizational excellence, and the ability to move seamlessly between confidential executive support and results-driven project execution. Key Responsibilities Executive Support (CEO \& COO) Provide comprehensive administrative and operational support to the CEO and COO Manage calendars, meetings, travel, correspondence, and executive materials Track action items, deadlines, and follow-ups Handle sensitive and confidential information with discretion Serve as liaison and gatekeeper for executive leadership Send communications on behalf of the CEO/COO to internal and external stakeholders Oversee public records requests Project Management \& Strategic Initiatives Lead and manage cross-functional projects from initiation to completion Develop project plans, timelines, milestones, and deliverables Coordinate teams and ensure accountability Prepare executive dashboards and progress reports Support enterprise initiatives including system implementations and process improvements Contract oversight Operational \& Organizational Support Assist with board, legislative, and stakeholder engagements Improve workflows and organizational efficiency Serve as a bridge between leadership and departments Party and event planning and organizing Desired Knowledge and Skills: Experience supporting C-suite executives Project management certification Familiarity with ERP systems and performance metrics Strategic thinking High level of attention to detail Relationship management Ability to solve problems Maintain confidentiality standards at all times Strong organizational, communication, and prioritization skills High level of discretion and professionalism Proficiency in Microsoft Office and collaboration tools Working Conditions: May be required to work some late and unusual hours, including some weekends Requires willingness to travel in or out of state, including some overnight trips Ability to sit, stand, or walk for extended periods of time Ability to climb stairs without assistive aids Travel throughout the institution(s) will be required on a regular basis Minimum Qualifications: A Bachelor’s Degree in Business Administration, Communications, Project Management, or a related field; and two (2) to four (4) years of experience in project management and/or executive support. OR Five (5) to seven (7) years of executive support and/or project management experience. Key Responsibilities Executive Support Manage complex calendars, appointments, meetings, and reminders with precision Handle email correspondence with professionalism, accuracy, and appropriate prioritization Coordinate comprehensive travel arrangements including flights, accommodations, ground transportation, and detailed itineraries Prepare meeting notes, documents, presentations, and briefing materials Maintain strict confidentiality and handle sensitive information with discretion Project \& Operations Management Lead and organize projects from inception to completion, tracking tasks, milestones, and deadlines Coordinate effectively with internal staff, vendors, and external partners to ensure timely project delivery Create, document, and maintain SOPs, checklists, and workflows for efficiency and consistency Manage special projects and operational logistics with initiative and follow-through Identify process improvements and implement solutions proactively Personal \& Administrative Support Run errands and complete personal or household tasks as needed Organize events, gifting, and day-to-day logistics Support general office management and administrative functions Requirements 3-7 years of experience as an Executive Assistant, Project Manager, or in a similar high-responsibility role Proven ability to manage complex projects with meticulous attention to detail Excellent written and verbal communication skills Exceptional time-management and organizational abilities Proficiency in Microsoft Teams and Google Workspace, Microsoft Office, and project management tools (Asana, Notion, or similar) Professional, polished appearance and demeanor Reliable vehicle with current insurance and valid driver's license for errands and off-site tasks Ability to work independently, anticipate needs, and take initiative in a fast-paced environment Preferred Qualifications Experience in medical aesthetics, healthcare, luxury services, or creative industries Understanding of luxury branding and elevated patient experience Familiarity with social media platforms and basic content tools (Canva, Social Media Platforms etc.) is a plus Experience supporting creative or marketing initiatives Thrives in a creative, entrepreneurial environment Who You Are You are someone who approaches challenges with calm confidence and sees complex projects as opportunities rather than obstacles.
