Summary Our clinical office Manager is a leadership role, critical to the success of our team and the satisfaction of our patients. In addition to providing patient care, this role oversees all aspects of the daily operations within the medical office and will be focused on managing clinical flows, overseeing the financial budget for the office, and ensuring excellent patient experiences using strong interpersonal communication skills. Job Responsibilities * Implement office policies and procedures. * Assist in hiring and onboarding clinical staff. * Supervise, train, coach, and evaluate administrative and clinical staff. * Work with the doctor to create and maintain the staffing schedule to optimize provider schedules, minimize gaps in coverage, and manage paid time off requests. * Frequently supplements staffing headcount by working as a direct part of the patient care team by performing clinical duties to assist providers or working as a Medical Assistant or Receptionist. * Oversee and approve time sheet details to ensure payroll processes timely and accurately. * Foster a positive patient experience while ensuring regulations, guidelines, and standards are followed. * Collaborate with nurses, providers, and other members of management * Use popular software for electronic medical records (EMR), billing, scheduling, and accurate timekeeping. * All other duties as directed and assigned. Minimum Qualifications * High school diploma or equivalent, associate or bachelor’s degree in healthcare management, business, or related degree is preferred. * Familiarity with ModMed, EMA, EMR preferred. * Thorough understanding of HIPAA laws and guidelines. * Works well independently and has strong interpersonal communication skills. * Learns quickly and has strong problem-solving and critical thinking skills. * Develops professional relationships with coworkers and has strong leadership skills. * Communicates effectively and has strong verbal and written communication skills. Physical Demands * Frequently sit, stand, walk, talk, hear, and use devices including but not limited to computers, phones, and iPads. * Position Summary + The Practice Clinical Manager reports directly to the Director of Operations and Physician Practices. Responsibilities include; oversight of the ATOC clinical team, management of day to day clinical operations, patient care coordination, the Lung Cancer screening program and serves as a clinical resource for the practice. The incumbent must understand the Joint Commission regulatory accreditation as it pertains to the outpatient, ambulatory setting and stays abreast of all State and Federal regulations as they relate to the clinical segments of the practice. The manager promotes the three high priority pillars of patient service to the team: Patient Safety, Quality of Care, and Superior Patient Experience. * Education + Bachelor's in Nursing - Preferred + Master's in Healthcare - Preferred * Experience + 2-3 Years Management - Leadership - Required + 2-3 Years Clinical Experience - Required * License \& Certification + Professional License with State of Practice - Required + Basic Life Support (BLS) - Required * Core Job Functions + Define annual targets and review quarterly; improve operational efficiencies and reduce costs; and develop relationships with physicians, community leaders and stakeholders as needed to promote specialty services for appropriate patients. In conjunction with Director, develop an annual needs assessment and staffing matrix to address the specialty services. + Update specialty dashboards to include monthly volumes for new and follow-up patients, referring statistics, diagnosis, patient satisfaction and quality indicators and report to director and administration. Establish standards, goals, and objectives for the oncology specialty services on an annual basis based on quality indicators, accreditations, NCI deliverables and Joint Commission requirements an report status quarterly (or more frequently as warranted); address risk management issues immediately. + Set targets based on programmatic needs assessment and monitor; orient, train and supervise assigned clinical and support team; and assertively address complaints and patient/physician concerns; oversee scheduling and daily work assignments related to specialty; participate in quality studies for cancer services; and actively seek and promote research opportunities and participate in research activities in regards to oncology specialty services, related clinical trials and disparities. + Facilitates team implementation of applying corporate values intentionally into daily practice. Develops mechanism to measure and open continuous dialogue with team for ongoing integration of values into daily practice.
