Practice Manager
Position Title: Practice Manager Employment Type: Full-Time, On-Site Position Overview The Practice Manager serves as the operational backbone of the clinic, overseeing day-to-day operations across both locations and ensuring the business runs seamlessly, profitably, and in alignment with its concierge philosophy. This role is responsible for leading the team, implementing systems and SOPs, and maintaining the highest standards of luxury patient care. This is a hands-on leadership role. While the primary focus is strategic and operational oversight, the ideal candidate is comfortable stepping into a front desk or support role when needed to fill coverage gaps and support the team. An ideal (but not required) candidate may also have a Medical Assistant (MA) background, allowing for on-site support with clinical flow and injection training coordination, making them highly versatile within the practice. Key Responsibilities Operational Leadership * Oversee daily operations across both clinic locations to ensure smooth, efficient workflows. * Implement, manage, and continuously improve SOPs for patient journey, scheduling, inventory, and documentation. * Partner closely with the owner to establish accountability systems and performance expectations. * Coordinate and lead daily and weekly team meetings with structured agendas and follow-up actions. * Provide hands-on support in clinic operations, including front desk coverage when needed. Staff Management \& Training * Supervise, coach, and support front desk staff, medical assistants, estheticians, and clinical support team members. * Conduct onboarding, training check-ins, and performance reviews. * Ensure consistent communication and collaboration between front desk, providers, and administrative teams. * Assist with on-site training support when applicable (MA experience a plus but not required). Patient Experience \& Service Excellence * Uphold a luxury, white-glove, concierge standard across all patient touchpoints. * Proactively resolve patient concerns in a calm, professional, and timely manner. * Monitor patient feedback, reviews, and follow-up systems to drive retention and satisfaction. Financial \& Administrative Oversight * Track revenue, payroll, and expenses; identify trends and flag variances. * Manage vendor relationships, ordering, and inventory control. * Oversee membership programs, rewards tracking, and service utilization. Marketing \& CRM Coordination * Partner with marketing vendors to ensure consistent branding and accurate lead tracking. * Maintain CRM accuracy and oversee scheduling and patient flow systems. * Collaborate on promotions, community events, and new service launches. Qualifications * Minimum 3–5 years of experience in aesthetic practice, medical spa, or cosmetic dermatology operations. * Strong leadership, communication, and problem-solving skills. * Working knowledge of Aesthetic Record or similar EMR systems. * Experience with CRM platforms, scheduling systems, and HR workflows. * Medical Assistant (MA) experience preferred but not required. * Exceptional organizational skills with the ability to multitask in a fast-paced environment. * Proven success in process improvement, accountability, and team leadership.
