**School Context** * Enrollment: approximately 457 students * Grades: K–8 * Annual Operating Budget: approximately $6\.855 million * Governance: Board governed, Head of School led * Mission: Christ centered education with strong community partnership **Position Summary** The Financial Manager is a full time operational leadership role responsible for managing the day to day financial systems of the school. At this enrollment and budget level, the role is hands on and transactional while also providing clear financial reporting and analysis to support leadership decision making. The Financial Manager serves as a trusted steward of school resources, ensuring financial integrity, regulatory compliance, and mission aligned practices in a California private Christian school environment. The role reports to the Head of School and works closely with the Board Treasurer or Finance Committee as appropriate. **Core Responsibilities** **Tuition and Revenue Management** * Manage tuition billing, payment plans, and collections through FACTS * Process all incidental and auxiliary billing through FACTS * Monitor accounts receivable and follow up on past due balances in a respectful, mission appropriate manner * Maintain accurate tuition and enrollment related financial records **Payroll and Benefits Administration** * Administer payroll through Paycom for all employees * Ensure compliance with California wage, hour, and payroll reporting requirements * Manage and report employee 403b contributions * Oversee Flexible Spending Accounts and benefits administration * Assist with annual insurance open enrollment in coordination with brokers * Prepare documentation for annual workers’ compensation audits **Accounting and Financial Operations** * Manage accounts payable, including invoice processing, approvals, and timely payments * Maintain QuickBooks accounting for three related entities with proper allocation of shared expenses * Perform monthly bank and cash reconciliations * Record journal entries, including investment gains and losses * Monitor school credit card usage, collect receipts, and post transactions accurately to the general ledger **Budgeting and Financial Reporting** * Prepare monthly financial statements for the Head of School * Support Board level reporting through summaries and variance explanations * Conduct monthly budget variance analysis and explain results clearly to non financial leaders * Support the annual budgeting process, including enrollment based revenue projections * Ensure financial records are organized, accurate, and audit ready **Mission and Community Alignment** * Serve as a steward of resources in support of the Christian mission of the school * Handle financial matters with integrity, confidentiality, and professionalism * Communicate with families and staff in a manner that reflects grace, respect, and clarity * Understand that financial systems exist to support students, families, and ministry **Qualifications** * Bachelor’s degree in business, accounting, or a related field * Experience in private school, nonprofit, or faith based organization finance preferred * Working knowledge of California payroll, benefits, and employment practices * Proficiency with accounting and payroll systems such as QuickBooks, Paycom, and FACTS * Strong attention to detail combined with the ability to understand the big picture **Scope and Workload Expectations** * This is a single position role, not a CFO level position * Highly hands on with daily financial transactions * Strategic financial planning is supported but not owned independently * External audit, legal, and tax functions are supported through outside professionals Pay: $60,000\.00 \- $70,000\.00 per year Benefits: * Dental insurance * Disability insurance * Employee discount * Health insurance * Paid time off * Retirement plan * Vision insurance Work Location: In person
