The Project Coordinator (PC) is a key contributor to meeting and event planning department and will work on multiple (simultaneous) programs. Must be proactive, detailed oriented and a self\-starter with the ability to multi\-task several meetings \& events simultaneously. Responsibilities include registration and attendee management for various event sizes. The PC will work closely with Account Manager, Sr. Project Manager, Marketing Specialist and/or Project Manager/Producer and assist those reports where required. **Key Accountabilities:** **Team Collaboration** * Maintains collaborative and positive working relationships with all peers. * Works closely with Project Managers to grow and develop their skill sets. * Works with the team to respond to project requests in a timely efficient manner. **Processes \& Procedures** * Create, maintain, and document client specific processes and templates. * Quality control of outgoing project communications, print/digital projects \& website management. * Ensure that meeting/events progress seamlessly by following established procedures, collaborating with colleagues, and ensuring accuracy. **Responsibilities:** **Customer Service** * Proactively respond to daily customer service email correspondence with domestic \& international delegates; managing event specific email inboxes and addressing concerns related to registration processes. * Create and distribute delegate visa letters, if applicable. * Support on\-site registration services, printing of badges, and supporting Project Managers in various event related tasks. **Reporting** * Generate and prepare registration reports. * Produce regular hotel pickup reports for all contracted hotels. * Keep track of all deadlines associated with dropping rooms, adjusting pattern, assigning upgrades, and submitting any needed updates to hotel. * Auditing hotel rooming list vs event attendee database. * Submitting venue commission reports/invoices. **Logistics** * Assist in the build, testing, and launch of event websites and mobile apps; utilizing our registration software (Cvent) and similar platforms. * Work closely with Project Managers and Marketing Specialist to implement new processes and ideas to keep registration websites and email blasts exciting and engaging. * Manage hotel room block including but not limited to; entering critical data for the terms, blocks and sub\-blocks into housing system, make recommendations for adjustments to pattern and need to alter block or drop rooms based on current pickup trends. * Assist with the design and dispatch email campaigns through the registration software (Cvent). * Development, distribution \& management of speaker kits, sponsor kits \& exhibitor manuals. * Development of digital and print materials – Know Before You Go emails, name badges, welcome kits, etc. * Organize program instructional binders for on\-site use. * Ensure all meeting supplies are on hand and shipped to meeting location. * Adhere to all deadlines, turnaround timelines \& compliance requirements. **Education and Experience:** * High school graduate/ GED * Associates Degree preferred * 1 \- 2 years work experience, preferably in the hospitality industry * Cvent knowledge and/or certifications preferred **Behaviors:** * Process driven, achieve project goals effectively and efficiency with accountability * Driven and self\-motivated professional, with a laser sharp attention to detail * Incredible anticipation and problem\-solving qualities * Must have a passionate curiosity and inquisitive nature * Ensure positive customer experience at every step of the customer journey * Good listener and maintains accountability for deliverables * Natural relationship builder with unparalleled integrity, work ethic, reliability, and maturity **Skills:** * Business driving strengths including strong organization skills, reporting abilities, and solution\-oriented decision\-making * Proficient in Microsoft Office Suite (PowerPoint and Excel) * Strong understanding of meeting technologies (Cvent, Mobile Apps) * Dedicated and focused with the ability to prioritize and complete multiple competing tasks * Excellent communication skills both written and verbal **Physical Demands:** The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
