About the role
**Job Summary**
The Onboarding Specialist will perform administrative tasks and services to support effective and efficient operations of the organization’s Onboarding Department. The onboarding specialist will follow a step\-by\-step process for welcoming new hires and may use a checklist for both the employee and employer requirements.
**Duties**
* Maintains accurate and up\-to\-date human resource files, records, and documentation. Maintains integrity and confidentiality of HR records.
* Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior\-level HR staff or management.
* Provides clerical support to the EVV coordinators
* Conducts new hire orientation and assists new hires through their first shifts.
* Assists with planning and execution of special events such as benefits enrollment, employee recognition events, holiday parties, and retirement celebrations.
* Assist with staffing agency cases.
* Rotation on on\-call, to assist with staffing.
* Creates employee files.
* Maintains spreadsheets to track compliance.
* Recruiting and screening caregivers.
* Conducting interviews and orientation.
* Processing background checks and TB testing.
* Verifying certifications, licenses, and IDs.
* Ensuring compliance with state homecare regulations.
* Completing onboarding paperwork (I\-9, W\-4, handbook acknowledgements, direct deposit forms, etc.).
* Coordinating training and EVV system setup.
* Communicating with payroll, scheduling, and HR departments.
* Tracking expirations for physicals, TB tests, CPR, and certifications.
* Maintaining employee files and compliance records.
* Performs other duties as assigned.
**Experience**
* Must be bilingual – English and Spanish
* Excellent verbal and written communication skills.
* Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
* Excellent organizational skills and attention to detail.
* Experience with Microsoft Office Suite or related software.
* Human Resources or Home Care experience preferred.
* Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
**Education and Experience:**
* Associates or Bachelor’s degree preferred.
* Prior related office experience preferred.
**Physical Requirements:**
* Prolonged periods of sitting at a desk and working on a computer.
* Must be able to lift up to 15 pounds at times.
