About the role

**Vice President of Operations (Hands On, DTC E Commerce and Telehealth)** **Your Impact** In this role, you’ll be responsible for designing, building, enforcing, and scaling the operational systems that run the company day to day. This includes accountability frameworks, SOPs, centralized tools, calendars, project management infrastructure, and department level tracking systems. You will work closely with the CEO and the VP of Ecommerce to translate priorities into execution and to remove operational and project management burden from the CEO. This role requires someone who is comfortable acting as the operational authority of the company: setting standards, enforcing systems, and holding teams accountable. **What You’ll Lead***This section outlines the areas of work, influence, and ownership you’ll guide in this role. It describes the systems, people, and outcomes you’ll shape—not through control, but through clarity, collaboration, and courageous leadership. These are the responsibilities where your voice, decisions, and presence will truly make a difference.* * **Operational Systems and Enforcement** + Build, implement, and actively enforce company\-wide systems and processes. + Ensure operational tools, SOPs, and workflows are consistently used across all teams. + Identify and correct non\-compliance through training, enforcement, or escalation. + Act as the owner of how work gets done operationally. + *This role is responsible not just for creating systems, but for making sure they are followed.* * **Central Hub and Single Source of Truth** + Establish and maintain a central operational hub for project tracking, documentation, communication norms, and ownership and accountability. + Eliminate fragmented tools, side conversations, and undocumented workflows. + Ensure all teams operate from a single source of truth. * **Company Wide Calendar Ownership** + Own and manage a company\-wide operational calendar. + Coordinate and publish timelines for product launches, marketing campaigns, content schedules, key initiatives, and executive priorities. + Ensure all teams plan and execute against the same calendar. + Proactively identify and resolve timeline conflicts before they become issues. * **Project Management Systems (Build First, Delegate Later)** + Serve as the architect and initial owner of the company project management systems. + Design the frameworks, templates, dashboards, and workflows that enable effective execution. + Define and standardize how projects run end to end, including: How projects are scoped, how timelines are set, how ownership is assigned, how progress is tracked, and how reporting and escalation function. + Build project management infrastructure that will be used by current and future project managers, including a marketing project manager. + Initially manage and run these systems directly, with the expectation that day to day project tracking will eventually be delegated once systems are proven, adopted, and enforced. + Ensure consistency and continuity as project management responsibilities transition to dedicated PM roles. + *This role builds the operating system, not just operates within it.* * **Department Level Embedding and Accountability Tracking** + Embed directly within each department (for example Marketing, Content, Product, Clinical, Operations) to understand how work is actually executed. + Partner with department leaders to map department execution, then build tracking that matches reality, mapping workflows, inputs and outputs, dependencies, and bottlenecks and failure points. + Design and implement department specific tracking systems, KPIs, and reporting structures that roll up into company\-wide visibility. + Ensure every department has clear output expectations, defined ownership, measurable accountability, and a regular reporting cadence. + Standardize accountability across the company while allowing for department\-specific nuance. + Make performance, progress, and gaps visible, objective, and actionable. + *This role requires proximity to the work, not abstract oversight.* * **Content and Output Accountability** + Implement systems to track content production volume and output across teams. + Establish clear expectations for required versus actual output. + Create reporting that makes underperformance visible and actionable. + Ensure content and operational output scale alongside growth initiatives. * **CEO Partnership and Load Reduction** + Work directly with the CEO to remove day\-to\-day project management from the CEO plate. + Translate leadership priorities into structured execution plans. + Ensure initiatives move forward without constant CEO involvement. + Act as an operational extension of the CEO across the organization. * **Cross Functional Leadership** + Partner with marketing, content, product, clinical, and operations teams. + Balance structure with speed in a startup environment. + Drive clarity, consistency, and accountability across departments. **Who Thrives in This Role***This section describes the qualities, lived behaviors, and mindsets that help someone thrive in this role. These are not perfection standards—they’re the traits that shape how you show up, connect, lead, and do your best work.* * Someone will thrive here if they are: + Comfortable being direct, enforcing standards, and holding teams accountable. + Able to build operational systems from scratch and scale fast\-growing teams. + Action\-oriented, as this role is for a hands\-on Vice President of Operations, not a passive executive or high\-level delegator. + Willing to be the operational authority of the company, setting and enforcing systems. + Thriving in ambiguity, speed, and startup environments. **Superpowers We Value (AKA Qualifications)***These are the strengths you bring that elevate the role beyond its basic responsibilities. Think of them as the unique skills, instincts, and abilities that help you create impact, build trust, and make the work not just effective—but deeply human.* * ***Must\-have*** + Five to ten plus years in operations leadership roles. + Experience in direct\-to\-consumer (DTC) e\-commerce, telehealth, health tech, or regulated consumer products. + Proven ability to build operational systems from scratch and scale fast\-growing teams. + Strong project management instincts. * **Nice\-to\-have** + Formal Project Management (PM) background is a plus. **Physical Requirements** *(Update: Role appears to be general office/remote, default requirements retained for completeness, as suggested by template note)** Ability to sit for extended periods of time at a desk and working on a computer * Ability to communicate effectively in person, over the phone, or via virtual meeting * Ability to maintain focus in a typical office environment with moderate noise levels * Ability to perform repetitive motions with hands and arms, such as typing. **What We Offer*** Comprehensive benefits package including medical, dental, paid time off. * Competitive base salary, commensurate with experience. * Performance bonus based on operational KPIs and execution. * Equity available for the right candidate. *Allia Health Group* *is unable to offer visa sponsorship at this time. Candidates must be legally authorized to work in the United States without current or future sponsorship.* **Equal Opportunity Employer Statement** Allia Health Group is an Equal Opportunity Employer. We celebrate diversity and are committed to creating an inclusive environment for all employees.
