In this position, you will contribute to the success of Rusnak Group by providing administrative support to the General Manager as well as the GSM and Dealership, compiling and maintaining records of business transactions and office activities; managing client interactions in an efficient, professional and timely manner, while upholding the highest levels of professional integrity and achieving individual proficiency goals established by management to support strategic plan objectives. Responsibilities : Effectively and Efficiently Provide Key Administrative Services to Executive Personnel/Office Efficiently tracks all new car inventory, used car inventory, Demo inventory, Buy customer owns, Retired Loaners and Dealer trades: CDK Vehicle Plus and Dealer ACCESS SYSTEMS. Creates F\& I deals for wholesaled units as directed by Management. Reconciles Floor plan and insures inventory is correct and meets Dealership needs. Coordinates and reconciles incentive schedule for debits and credits. Tracks AVP. Responsible for successfully coordinating all wholesales processes at the direction of the GSM/General Manager. Correct inventory monitoring for all wholesales and enters all information into electronic systems. Successfully performs word processing and clerical duties as needed such as but not limited to scanning, filing, data entry photocopying collating, memos, correspondence, reports and other documents when necessary. Sets up and maintains electronic and paper filling for the dealership, in a secure and confidential manner, for items such as but not limited to accounting paperwork and correspondence. Maintains consistent knowledge of Company structure, telephone system, the dealership and department operations, keeps current with staff change: interprets and explains dealer policies to sales personnel, answers questions about the company and provides callers with address directions and other pertinent information. Assist Sales team with trouble shooting Dealer track, CRM and escalating issues as needed. Maintains appointment calendars: arranges and confirms travel records staff meeting minutes. Handles client complaints or refers to appropriate dealership employee as necessary for prompt and effective resolution. Works closely with Management to compile and maintain verified accounts payable records reconciles statements issues payments to venters: computes wages, taxes, premiums, commissions and payments. Maintains office supply inventory: assists with dealership computer training as required. Assists with staff BMW required training. Follows established policies and procedures relevant to the assigned responsibilities as needed by management. Maintains TMSI training for sales staff Insert. Effectively and Efficiently Ensures Sales and Service reception Coverage. Assists management in supervising all receptionist services and coverage of reception desk as needed. Learns and maintains active working knowledge of staff scheduling needs. Serves as backup for assisting clients when needed. Answers telephone and takes messages for General Manager and other senior Management staff Qualifications : Desired: Minimum of \2\ years in position of Executive Assistant or similar positions in automotive, Retail, Sales industries. Anticipates bottlenecks and provides escalation management Analyzes end-to-end, moderate to high complexity business processes in one or more business functional areas Collaborates with peers and project managers to balance BU and enterprise level optimization Transfers knowledge on proposed solution and BU needs to leadership and peers Collaborates with peers on similar workflows/terminology to make sure there is a common process across departments (where applicable) and to ensure technology strategy, down to functional requirements, work(s) well for every aspect of the business Manages enhancement requests post implementation on an established and agreed upon release schedule Serves as the business subject matter expert (SME) to assist in the prioritization of technology projects, ensuing projects align with the technology that best provides maximum ROI, and directs BU \& IT strategy in support of the overall business strategy Partners with PMO and manages projects involving multiple departments or cross-functional teams, focusing on both successful integration, implementation, and adoption of new IT solutions Assists in development and overall execution of strategic plans, including leveraging company tracking mechanisms, and creating presentations and reports for the board, executive management, and other groups Stay Updated: Stay abreast of the latest industry trends, best practices, and updates in Workday and related technologies to bring new ideas and innovation to the organization's business processes. Other duties as assigned Qualifications: Basic Qualifications (Required Skills \& Experience) Bachelor’s degree in the field of Computer Science, Finance and/or related field is required or equivalent combination of education, training, and experience Minimum 12-15 years of experience of BRM / BA experience with multiple SaaS and Cloud Systems Technical Skills: In-depth knowledge of Workday HRIS modules (Core HR, Payroll, Benefits, Recruiting, Talent, etc.). Proven experience as a Sr. Business Analyst in implementing and managing Workday's Core and Advanced Compensation workstreams and Talent and Performance modules. Hands-on experience and Strong technical knowledge of Workday's Compensation module, including configuration, integrations, business processes, reporting, and security. Hands on expertise to launch Annual Merit, Bonus and Mid-year and Annual performance review cycles. Proficiency with Workday Report Writer and advanced reporting techniques. Understanding of HRIS security concepts and data privacy best practices. Single Point of Contact for supporting existing production issues and managing SLAs. Writing module design documents and test cases. Experience with system integrations and data migration projects is a plus.
