The Administrator will provide support to the Operations Function by ensuring the efficient coordination of purchasing \& stock control, contractor liaison, and operational reporting activities. The role is responsible for maintaining accurate system data, supporting effective inventory management, and contributing to continuous operational efficiency through proactive supplier management, KPI reporting, and cross-functional collaboration. The Operations Administrator will play a key role in enabling smooth day-to-day warehouse operations while also supporting wider departmental objectives and compliance requirements. Core hours will be Monday to Friday 8am to 4.30pm. Some of the key responsibilities include: Place and manage purchase orders via the ERP system using forward planning, ensuring orders are reviewed and amended as necessary. Manage stock, non-stock, free-issued goods, consumables, and raw materials held on-site and at supplier locations. Maintain accuracy of operational data within the ERP system, including supplier details, pricing, products, and staffing data. Proactively communicate delivery schedules and arrival details to Warehouse Management. Verify goods received against relevant documentation, ensuring accuracy of quantity, batch numbers, and expiry dates. Review supplier pricing and negotiate where appropriate, particularly for packaging and consumables. Administer the returns process, including booking in returns and supporting investigations where required. Conduct daily stock checks and investigations and actively participate in annual stock takes. Act as a key contact for warehouse-related queries, including supplier bookings and general supplier inquiries. Enter and maintain accurate data for reporting against operational performance measures. Analyse data using Excel and produce accurate daily, weekly, and monthly operational reports for the Operations Director. Support food safety and quality requirements, including involvement in the BRC Quality Management System, supplier documentation, and non-conformance management. Act as the point of contact for building maintenance and facilities, arranging contractor attendance as required and additionally, manage the preventative maintenance schedule, calling on maintenance and external contractors/suppliers to achieve this.
