Position Summary PHASE Services is seeking a highly organized, detail-oriented, and technology-driven Operations Manager to support the continued growth of our commercial plumbing business. This position, will grow into a Director of Operations or COO. This role is responsible for driving accountability, improving operational efficiency, managing critical workflows, tracking company initiatives, and ensuring projects and tasks are completed on time. The Operations Manager will work directly with company leadership and serve as a central point of coordination between operations, project management, estimating, accounting, field personnel, and administration. The ideal candidate has an engineering, industrial engineering, operations management, business analytics, construction management, or similar background and thrives in a fast-paced environment where organization, communication, accountability, and follow-through are critical. We are looking for someone who naturally creates systems, builds detailed task lists, follows up relentlessly, and refuses to let important items fall through the cracks. Primary Responsibilities Task Management \& Accountability * Develop and maintain company-wide task trackers, action item logs, project schedules, and accountability systems. * Track open tasks and follow up with team members to ensure commitments and deadlines are met. * Lead weekly accountability meetings and maintain action item registers. * Escalate overdue items and proactively remove obstacles preventing completion. * Ensure important initiatives are consistently moving forward. Operations \& Process Improvement * Identify operational inefficiencies and implement solutions to improve performance. * Develop and document Standard Operating Procedures (SOPs). * Create systems and workflows that improve communication, organization, and execution. * Analyze business processes and recommend improvements to increase productivity. * Support leadership with strategic initiatives, special projects, and growth opportunities. Reporting \& Analytics * Develop and maintain KPI dashboards, reports, and operational scorecards. * Utilize advanced Excel tools to track company performance and operational metrics. * Analyze data and provide actionable recommendations to leadership. * Monitor manpower utilization, project performance, backlog, workload, and company initiatives. Communication \& Coordination * Serve as a liaison between departments to ensure information flows effectively. * Coordinate meetings, maintain action items, and communicate status updates. * Ensure critical information is communicated clearly, accurately, and promptly. * Build strong relationships across all levels of the organization. Technology \& AI * Leverage technology and AI tools to improve productivity and operational efficiency. * Utilize ChatGPT, Microsoft Copilot, Power Automate, Excel, Power BI, and other technologies to streamline workflows. * Identify opportunities for automation and process optimization. * Research and recommend new technologies that improve company operations. * Help implement and maintain technology solutions that support business growth. Required Qualifications * Bachelor's Degree in Industrial Engineering, Operations Management, Business Analytics, Construction Management, Engineering, or related field. * Advanced proficiency in Microsoft Excel. * Strong analytical and problem-solving abilities. * Excellent verbal and written communication skills. * Ability to manage multiple priorities simultaneously. * Strong organizational and project coordination skills. * Comfortable working directly with senior leadership. Solve Complex Challenges: Resolve customer inquiries via phone, email, and chat with urgency and precision, addressing more complex financial, technical, and operational scenarios while identifying root causes and long-term solutions. Manage Escalations End-to-End: Own customer escalations from start to finish, partnering closely with Sales, Product, Risk, Engineering, and Support to ensure timely resolution and clear, consistent communication. Support Retention \& Growth: Proactively assess customer health, identify churn risks, and uncover expansion opportunities within your portfolio. Share insights and feedback to help improve customer outcomes and inform internal teams. What We Are Looking for Relevant Experience: 2–4 years of experience in Customer Success, Account Management, or Sales, ideally within SaaS, Fintech, or a high-growth environment. Results-Oriented: Experience managing a portfolio of accounts with demonstrated success driving retention and account growth, supported by data, metrics, or performance outcomes. Consultative Communicator: Able to build trust with customer stakeholders and clearly explain financial or technical concepts across phone, email, and chat.. Analytical \& Data-Informed: Comfortable using data and trends to drive adoption, improve retention, and prioritize customer engagement. Tech-Forward: Comfortable working with modern tools and AI-powered workflows; experience with Zendesk, Intercom, or CRMs is a plus. Problem Solver: Proactive, resourceful, and comfortable navigating ambiguity while managing a high-volume book of business. Detail-Oriented: Precise and dependable when managing financial data, customer configurations, and compliance-related workflows.
