Regulatory/Recruitment Specialist, Clinical Research Coordinator

University Orthopedics Center, a leading provider of orthopedic services, is currently seeking a full-time Certified Medical Assistant for our Regulatory/Recruitment Specialist, Clinical Research Coordinator position. Position Summary This position will be split 50% of the time as a Regulatory Recruitment Specialist and 50% time as a backup Clinical Research Coordinator (CRC). The individual in this position performs a variety of clinical study activities to assist UOC Clinical Research and the Investigator in the conduct of a clinical trial. Position Requirements: Knowledge in Good Clinical Practices for clinical research Knowledge in Food and Drug Association’s (FDA) regulations and guidelines Current CPR certification/maintenance Certification or willing to become certified in the clinical research field (ACRP) Ability to travel between all UOC Offices as needed; 50% Altoona, 50% State College Prior experience in the medical or health-related field; Certified Medical Assistant or Phlebotomist preferred, but not required. Experienced in venipuncture, capillary puncture, and specimen collection for patients of all ages Trained in proper specimen labeling, handling, and transport to ensure accuracy and compliance with laboratory standards Operational Responsibilities: Conduct all clinical study activities according to FDA regulations and guidelines Ensure the safety and welfare of the study participants. Follow study protocols and schedule patient visits within protocol requirements. Contact and secure vendors needed for each study. Familiar with infection control protocols, HIPAA regulations, and maintaining detailed documentation Study Responsibilities: Schedule meetings with sponsors/monitors and ensure appropriate personnel can attend. Provide and maintain regulatory assistance, including IRB and Sponsor submissions, approvals, closures… Design and maintain organizational tools to conduct the study accurately and in compliance with GCPs and the protocol Maintain knowledge of Protocol and Amendments Train site personnel and medical staff in Protocol Recruit potential study participants according to the protocol’s inclusion and exclusion criteria Maintain adequate and accurate medical charts for each study patient Complete source documents based on protocol. Obtain thorough medical history. Complete Case Report Forms (CRFs) accurately Regulatory Responsibilities: Collect and complete regulatory documents for the Sponsor and Institutional Review Board (IRB) Provide regulatory assistance when needed including, but not limited to safety reports, SAE reporting, additional submissions, approvals, closures… Maintains Study File Binder(s), study start-up materials, and the Trial Master File as needed Update/track providers and staff CV’s, medical license, GCP/CITI training Create source documentation for upcoming studies Recruitment of sponsors and clinical trials Track letters, contacts, emails to sponsors/pharmaceutical companies Maintain spreadsheets of recruitment of patients and studies Run reports of patients for study specific inclusion and exclusion Determine eligibility/prescreen Recruitment of patients Data entry for specific retrospective studies Advertising for current and new studies- social media, all staff emails Submit to UOC newsletter updates for clinical trials department IRB submissions, tracking of continuing reviews, close out submissions Revisions and creating Informed Consent Forms for new studies Tracking patient payments and assuring patients are paid Email communication with research site, staff, and sponsors Will act as unblinded pharmacist as needed Qualifications and Personal Profile: Self-driven; able to initiate and work independently Effective communicator; able to present information to staff and potential patients Positive attitude: ability to work well with others. Adaptable to change and willing to accept added responsibilities and accountability. Job Title: Associate Athletic Trainer Reports to: Manager of Athletic Training Services Secondary Oversite: DME/OrthoTech Manager, Team Physician, and School Athletics Director General Summary of Duties: ============================== The Associate Athletic Trainer is responsible for offering athletic training services a local high school in Rhode Island. The Associate Athletic Trainer will act as a representative of University Orthopedics while providing daily treatments and coverage of athletic games and practices for the school. The Associate Athletic Trainer will also work 10 hours per week in the University Orthopedics DME/Orthopedic Technician department, responsible for fitting, refitting, custom measurement, education, billing, collection of co-ins/deductible, inventory management and patient satisfaction. May be responsible for assisting the physicians with care and treatment with acute orthopedic injuries by applying/removing/reapplying casts/splints and wound care as needed. Essential Job Functions: ============================ School Responsibilities (30 hours/week at St Andrews High School, in Barrington, RI) Act as a representative of University Orthopedics and the standards valued therein. Work with the athletic director to plans for providing athletic training coverage at interscholastic athletic events identified in Athletic Training Program Coverage Policy. Establish and maintain a budget for athletic training supplies/equipment Establish daily hours of operation for the athletic training facility. Develop comprehensive venue and condition specific emergency action plans. Establish a working relationship with a designated team physician and community physicians. Work in accordance with standing orders and team physician recommendations. Establish a working relationship with school nursing staff. Complete (school systems) policies training to include Blood Borne Pathogens Exposure Control Plan training and comply with the regulations therein. Maintain adequate medical records on all injuries and rehabilitation procedures. Coordinate physical examinations and medical referrals for student-athletes to determine their ability to practice and compete. Coordinate pre-participation examinations and physicals as defined in sports medicine manual. Comply with any and all policies regarding health care delivery as indicated by the school systems/regulations and outlined in the Athletic Injury Management section of the school’s athletic training program policies and procedures manual. Evaluate and recommend new techniques and equipment that would enhance the benefit of the sports medicine program. Act as a Liaison between family physicians and specialists, teachers and the school district, coaches, athletes, and their parents. Work in conjunction with coaches and/or strength and conditioning staff to ensure safety in the design and implementation of fitness, nutrition, and conditioning programs customized to meet individual student-athlete needs. Develop coach’s professional development for CPR/AED, Concussion, Heat Illness, Sudden Cardiac Death, Anaphylaxis, Sickle Cell, etc. DME/OT Responsibilities (10 hours/week) Provides direct patient care by fitting and instructing DME products to patients pre-operatively, post-operatively, or during a scheduled office visit. Educate patients on insurance plans and provisions, financial responsibility, and collection of patient portion. Assist staff and physicians in problem solving in regard to type of brace and fitting that best suits the patient and their situation. Reports any abnormalities in the forms to the DME Manager Responsible for recording the details in the patient’s medical record as well as completing all of the necessary documentation in order for the billing department to submit the DME claim to the patient’s insurance carrier. Interfaces with billing department on issues relating to DME bills, resolves identified problems in a timely manner. Applies, removes, reapplies any prescribed casts/splints by UOI providers Provides appropriate wound care based on provider prescription re: Sutures, Staples, Dressings. Adheres to all Federal and State regulations, agency policies and protocols relating to the DME functions. Additional duties as assigned by the Manager to meet department needs Requirements: Bachelor’s degree 2+ years of clinical experience Must be BOC certified and possess state athletic training licensure. NPI Number Required. Ability to communicate effectively in high stress/pressure situation when talking to patients, medical professionals, staff, and families Decision-Making Skills: Ability to think quickly and critically under pressure and make independent decisions regarding the assessment, treatment, rehabilitation and return to play decisions per state licensure guidelines. Must have the ability to organize, prioritize and perform multiple tasks with little supervision or no supervision. Ortho Technician or otherwise experienced working with durable medical equipment is preferred. Must be able to travel to all sites if/when necessary.
