Medical Administrative Assistant: Psychiatry

Plena Medical Group – Child \& Adolescent Psychiatry Plena Medical Group is a physician-led, mission-driven practice where thoughtful care, clinical excellence, and respectful teamwork matter. Plena Medical Group is seeking a reliable, organized, and patient-centered Medical Office Assistant to join our outpatient child and adolescent psychiatry practice. This full-time role primarily supports one full-time psychiatrist, with additional support to a second psychiatrist as needed. The position also provides limited cross-coverage support to Plena Mind Center’s PHP and IOP programs during PTO, vacation, or high-volume periods. This role is a mix of phone-based and in-person front office support and is ideal for someone who is calm, professional, and confident managing sensitive conversations with families while keeping physicians organized and supported. What You’ll Do Phones \& Patient Communication Answer and manage incoming calls in a professional, compassionate, and efficient manner Serve as the first point of contact for new patient inquiries Complete structured phone screens prior to scheduling psychiatric appointments Triage care-related questions and route appropriately to the physician or clinical team Manage prescription refill requests in coordination with the psychiatrist and established protocols Scheduling \& Coordination Schedule new and follow-up psychiatric appointments Manage and maintain physician calendars Support collaboration and care coordination with therapists, schools, and external providers when needed Administrative \& Clinical Support Provide direct administrative support to one full-time psychiatrist and secondary support to a second psychiatrist as needed Maintain accurate patient records in the EHR Collect, process, and post patient payments, including co-pays and self-pay balances Verify and document insurance benefits as part of the intake and scheduling process Assist families with basic insurance-related questions and direct complex issues appropriately Handle incoming and outgoing mail and routine office correspondence PHP / IOP Support (as needed) Provide phone and administrative coverage for Plena Mind Center PHP and IOP programs during staff PTO or coverage gaps Assist with intake-related calls for PHP and IOP when needed Support communication between Plena Medical Group and Plena Mind Center teams Office Operations Greet patients and families and ensure a calm, welcoming front-office experience Support general office organization and daily operations Maintain strict HIPAA compliance and patient confidentiality What We’re Looking For High school diploma or equivalent required; medical office or healthcare-related training preferred Prior experience in a medical, psychiatric, or behavioral health setting strongly preferred Excellent phone presence and communication skills Strong organizational skills and ability to multitask in a fast-paced environment Comfort working with families of children and adolescents Experience with scheduling systems and electronic health records (EHR) Reliable, detail-oriented, and professional Position Details Full-time, on-site position Monday–Friday schedule No nights or weekends Benefits Competitive compensation; pay commensurate with experience PTO, paid holidays, and additional benefits per company policy Supportive, mission-driven team environment Opportunity to work closely with experienced child and adolescent psychiatrists Exposure to both outpatient psychiatry and PHP/IOP levels of care Opportunity for long-term growth within a specialized pediatric behavioral health organization Hybrid flexibility: work from home on Fridays when business needs allow Plena Medical Group is committed to providing thoughtful, evidence-based, and family-centered psychiatric care.
