Job Description Position: Senior Operations Manager Company: Phoenix Business Advisory Experience: 8–12 Years (Minimum 5+ years in Australia visa operations) About the Role Phoenix Business Advisory is seeking a highly experienced Senior Operations Manager to lead and streamline end-to-end operations for Australia NIV (National Innovation Visa), Work, and Business Visa processes. The role demands strong domain expertise, operational leadership, compliance knowledge, and cross-functional coordination to ensure seamless client delivery and high success rates. Key Responsibilities Operations \& Process Management Oversee end-to-end operations for Australia NIV, Work, and Business Visa cases. Ensure timely and accurate processing of applications in line with Australian immigration laws and DHA guidelines. Develop, implement, and continuously improve SOPs for visa processing and documentation. Monitor case progress, identify bottlenecks, and ensure adherence to defined TATs. Team Leadership \& Management Lead, mentor, and manage operations executives, case managers, and documentation teams. Allocate workloads, set KPIs, and ensure productivity and quality benchmarks are met. Conduct regular team reviews, training sessions, and performance evaluations. Compliance \& Quality Control Ensure 100% compliance with Australian immigration regulations and internal audit standards. Conduct regular quality checks on applications, documentation, and submissions. Stay updated on policy changes related to Australia NIV, work, and business visas and communicate updates to internal teams. Stakeholder \& Cross-Functional Coordination Work closely with Sales, Client Servicing, Legal, and Marketing teams to ensure smooth handovers and case execution. Act as a key point of contact for escalations, complex cases, and high-value clients. Coordinate with external consultants, legal advisors, and overseas partners where required. Reporting \& MIS Prepare and present weekly/monthly MIS reports on case status, approvals, rejections, and operational performance. Track success ratios, team efficiency, and client turnaround times. Provide insights and recommendations to management for operational improvements. Client Experience Management Ensure a high level of client satisfaction through proactive communication and timely resolution of concerns. Handle escalations related to delays, documentation issues, or complex visa requirements. Maintain confidentiality and professionalism in all client interactions. Required Skills \& Qualifications Minimum 8–12 years of experience in immigration operations, with strong expertise in Australia NIV, Work, and Business Visas. Proven experience in managing large operations teams and high-volume visa cases. Strong leadership, people management, and decision-making skills. Excellent process-orientation with strong attention to detail. Ability to handle pressure, multiple priorities, and tight deadlines. Proficient in MIS reporting, CRM tools, and documentation management systems. Excellent communication and stakeholder management skills. Preferred Qualifications Certification or formal training in Australian immigration law/processes. Prior experience with business advisory or investment-linked visa programs.
