Executive Assistant to the CEO
Job Summary We are seeking a highly organized and proactive Executive Assistant to support the CEO in managing daily operations, strategic initiatives, and executive priorities. This dynamic role requires a detail-oriented professional with exceptional administrative skills, the ability to handle complex scheduling, and a knack for project coordination. The Executive Assistant will serve as a key liaison across departments, ensuring seamless communication and efficient office management. Duties * Executive Operational Support \& CEO Proxy Function * Act as an extension of the CEO in operational coordination, leadership follow-up, and execution tracking. Strategic Project \& Initiative Management * Manage CEO-driven strategic projects across healthcare services including RPM, CCM, CoCM, and expansion initiatives. * Track project timelines, deliverables, accountability ownership, and milestone achievement. * Coordinate cross-department collaboration to prevent operational bottlenecks. * Assist in preparation of board-level presentations, strategic updates, and executive reporting. Executive Communications \& Stakeholder Coordination * Manage CEO communications with providers, partners, investors, vendors, and internal leadership teams. * Draft executive-level correspondence, memos, briefings, and announcements. * Ensure consistency of messaging aligned with company strategic direction. * Coordinate confidential communications with discretion and professionalism. * Represent the CEO in internal meetings when delegated, ensuring alignment with executive priorities. * Monitor execution of CEO initiatives across departments including clinical operations, finance, growth, HR, and data analytics. * Facilitate decision readiness by gathering data, preparing briefing materials, and synthesizing operational insights. * Ensure strategic initiatives move from planning to execution without delay. * Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to prepare presentations and reports while ensuring accuracy through proofreading and transcription skills. * Manage confidential information with discretion while maintaining organized filing systems both digitally and physically. Executive Scheduling \& Prioritization Management * Manage complex CEO calendar prioritization based on strategic value. * Coordinate leadership meetings, provider engagements, investor discussions, and internal reviews. * Ensure meeting readiness including agendas, briefing documents, and follow-up tracking. Healthcare Operations Alignment * Support alignment between executive leadership and clinical operations. * Monitor regulatory compliance considerations impacting executive decisions. * Assist with provider relations, credentialing tracking, and operational escalations. Confidential Executive Administration * Maintain confidentiality of sensitive organizational, financial, HR, and clinical information. * Handle sensitive documents, contracts, and executive files with discretion. * Support executive HR, legal, and operational communications as needed. Decision Authority \& Leadership Scope This role may: * Represent the CEO in operational meetings when delegated. * Communicate executive priorities to leadership teams. * Coordinate follow-ups on executive decisions. * Escalate operational risks to the CEO proactively. This is a leadership-adjacent position requiring strong independent judgment. Qualifications * Proven experience in executive administrative support or personal assistant roles within a professional office environment. * Strong organizational skills with the ability to multitask efficiently in a fast-paced setting. * Excellent communication skills—both written and verbal—with professional phone etiquette. * Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar), QuickBooks for bookkeeping, and familiarity with DocuSign for document signing. * Demonstrated experience in event planning, project coordination, data entry, clerical work, and office management. * Ability to handle sensitive information discreetly while maintaining high levels of confidentiality. * Strong typing skills coupled with attention to detail for proofreading and transcription tasks. * Experience working with multi-line phone systems and managing complex calendars using Microsoft Outlook Calendar or similar tools. * Knowledge of office procedures such as filing systems, customer service best practices, front desk operations, and general clerical experience is essential.
